GUIDELINES FOR ROSTER SECRETARIES

October, 2002

Guidelines for Secretaries

1. Liase with S.SATIS delegates to establish playing dates for each roster. There should be a balance between home and away matches for teams in the roster providing their own venue.

7. Receive and collate results each week. A pro-forma method to submit results is to be distributed to schools playing in the rosters.

8. Distribute a ladder for each roster every three rounds. A final ladder is to be distributed prior to the finals.

9. Determine Semi-Finalists/Finalists within two days of the final roster match and distribute this information, along with the final ladder, to each participating school in a roster, where possible. Where the number of matches played by each team in a roster is uneven (due to rostering) final positions will need to be determined by Match Ratio. i.e Wins divided by Matches Played.

10. Organise umpires for S.SATIS Grand Finals and State Finals conducted in the South. In the first instance seek independent umpires then, if necessary, seek umpires from other schools participating in the roster. This process should begin once the final roster is published.

11. If umpires for Grand Finals are not paid the Roster Secretary is to ensure participating schools present the umpire/s with a token of appreciation.E.g. A box of chocolates or a bottle of wine to the value of $10 - $15.

12. Invite the Chair, S.SATIS to present trophies/pennants at Grand Finals. This invitation should be made once the Grand Final date is known.

13. Ensure all trophies/pennants are at the Grand Final venue or, if no final, sent to the appropriate school for presentation.

14. Advise the Secretary, S.SATIS of the number of pennants needed prior to the final roster match.

15. Forward the names of trophy winners to the Secretary, S.SATIS to enable records to be updated and, in the case of 1st and 2nd Grade, notify the SATIS Convenor within one day of the Southern Final to enable State Finals to be organised.

16. Mid-Week cancellations should be made as early as possible on the day of competition. Weekend cancellations by 7.30am and announced on HO FM and 936 ABC.

17. Swimming - The organising secretary must: 1. Check access to exits, 2. Check evacuation procedure and 3. Confirm provision of lifeguards and their reponsibilities.

18. Softball

a. Schools which provide a home ground should, where possible, play an equal number of games at home and away.

b. Schools are to notify the secretary of school excursion dates when entering teams.

c. .For 1st and 2nd Grade softball the roster must consist of two complete rounds.
